Rhead CPA’s Privacy Policy
Accountability
Rhead CPA’s Chartered Professional Accountants and its staff are accountable for all personal information in its possession, including any personal information disclosed to third parties for processing or other administrative functions.
Ron Rhead CPA, as the Privacy Officer, is accountable for the firm’s privacy policies and enforcement.
Identifying Purposes
Rhead CPA will only use personal information, as set out in this policy, for providing professional services to our clients and providing general information (non-client specific) to our clients and others by way of mailings, faxes, emails, etc.
Any new purposes will be identified prior to use for those purposes. Your consent will be obtained for the new uses, except where such uses are required by law.
Consent
Rhead CPA and its staff shall obtain consent for all personal information collected, used, or disclosed by Rhead CPA and its staff. Your consent may be obtained, depending on the information and circumstances, orally or in writing, implied or expressed.
Limiting Collection
Personal information collected shall be limited to information that is necessary for the purposes identified by Rhead CPA and shall be collected by fair and lawful means.
Limiting Use, Disclosure and Retention
Personal information collected by Rhead CPA, and its staff, shall not be used or disclosed for purposes other than those for which it was collected, except with the consent of the individual, or as required or permitted by law, or by the Code of Professional Conduct / Code of Ethics as defined by the Chartered Professional Accountants of Ontario ("CPA Ontario"). Personal information shall be retained only for as long as is necessary to complete the purposes for which it was collected, or as long as required by law. Personal information that is no longer required is discarded or destroyed using methods that protect your privacy (i.e., by paper shredding and/or deletion of electronic files).
Accuracy
Personal information managed by Rhead CPA shall be as accurate, complete, and up to date as is necessary to fulfill the purposes for which it is to be used.
Safeguards
Rhead CPA shall safeguard your information against unauthorized access, disclosure, copying, use and/or modification.
Openness
Rhead CPA shall make information available to all its clients about the policies and practices relating to the management of personal information.
Individual Access
Upon request, an individual will be provided with the details of the existence, use and disclosure of their personal information and will be provided with reasonable access to that information. Any information found to be lacking in its accuracy or completeness can be amended at that time.
Challenging Compliance
All concerns brought forward about this policy and/or Rhead CPA’s compliance with it will be investigated in a timely matter. Any individual may contact the Officer of The Privacy Commissioner of Canada should their concern be unresolved, or for any concern that they may have.
This Privacy Policy is subject to any amendments which will be posted on Rhead CPA’s website and will also be available from Rhead CPA’s Privacy Officer.
